n 1\\@Registration and Conference Offices

              Conference Registration will take place in the Tokyo Conference Office situated at Training Room 411, 4th floor of the Central Building of the National Olympics Memorial Youth Center (NOMYC), Tokyo, from 9.30am on 5 August.  No conference registration shall take place on 4 August.

              The Tokyo Conference Office shall be in operation from 18.00 hrs. on 4 August to 17.00hrs. on 7 August at 411 Central Building.  Please feel free to drop by the office whenever you feel we can help you in any way, ranging from questions as to conference to any emergencies.  

              In Osaka, Conference Office will accept registration of those who join the conference in Osaka in the lobby, ground floor, Hotel Chuo at 8:30am. The participants who continue from Tokyo need not register again in Osaka, of course.  Please note the departure point and the time of each workshop and be sure to be there in time.    

             

             

n 2\\@Your Accommodations

              If you arrive in Tokyo on 4 August, please tell your taxi driver to take you directly to the entrance of the hostel building eLodging Building Df of the NOMYC for check-in.  There is no curfew period for this hostel.   The mailing address of the National Olympics Memorial Youth Center is:  3-1 Yoyogi Kamizono Cho, Shibuya-ku, Tokyo 151-0052, Japan. (“Œ‹ž“sa’J‹ζ‘γX–ؐ_‰€’¬3-1); and the phone number: (+81-) (0)3-3467-7201 and 7203 (after 17.00 hrs., in emergency only).  The public bathhouse (Japanese style ofuro is situated in Lodging Building B, which is open from 17.00 to 23.00 hrs.  You need to rinse your body before soaking yourself into the bathtub, and your towel should not be soaked in the bath water.   Before you check out on the morning of 7 August, you are responsible for cleaning your room and bringing your linen back to the Conference Registration in Room 411.

n 3\\@Meals

           Your breakfasts and lunches in Tokyo are served in the canteen eCafeteria Fujif on the Second Floor of the Central Building, where sessions will take place on 6 and 7 August.  The meals are in buffet style.  Give your coupon to the personnel at the entrance, then get cutlery and food as you desire.  You can get as much food as you can eat from the cafeteria line, but you cannot bring the food outside.    

              Meal hours are as follows Please note that the gate will be closed after these hours and your meal coupons will become void, if you miss the meal:

              - Breakfast: 7.00 – 9.00 hrs.

              - Lunch: 11.30 – 13.30 hrs.

              - Supper (you need to buy your individual ticket at the gate): 17.00 – 19.00 hrs.

              After you finish eating, bring your tray to the tray drop, with your cutlery to a round tin next to the tray drop.  Put your paper waste in a litter bin provided.  Leave your leftover food on the plates and never throw it away to the litter bin.  Leave the canteen from the exit not from the gate that you entered.  Please note that lost or stolen meal coupons shall not be replaced.   Watch for your valuables while eating.

              Meals on the night of 7 August is to be arranged and paid for by each delegates.  If you join Tokyo field trip, you can have supper during the free time in Odaiba.  In case you take Trip 1 of transfer coach to Osaka, you can have supper on a roadside restaurant. 

              In Osaka, each delegate is responsible for the breakfast on 8 and 9 August.  Lunches on 8 and 9 August and the Banquet on the evening of 8 August are provided as a part of your conference fee. 

 

 

n 4\\@Timing of your Presentation

              In the paper sessions in Tokyo, you have half an hour for your presentation, question and answer.  There is a short break of 10 minutes between each presentation, to make up leeway caused by prolonged presentation or discussion.   The chairpersons are strongly encouraged to start each presentation at the fixed time specified in the conference programme, so that some participants who migrate from one session to another during the short break can join the presentation that follows the break in time. 

              In the workshops in Osaka and plenary sessions, please follow the instruction from the organiser or chairperson.

 

n 5\\@Multimedia projectors in the session rooms

              In Tokyo, every session room of the NOMYC is equipped with a multimedia projector for your use.  It projects your laptop computer display, OHP transparencies and anything printed or photocopied on a normal sheet of paper onto the screen in front of the session room.  You need to bring your own PC, however, if you want to use your PowerPoint or similar software in your presentation.

              In Osaka, the Organisers of each on-site workshop will arrange equipment necessary.  If you need any specific equipment, contact the Organiser shown in the conference programme.

 

 

n 6\\@Internet and E-mail access

        In NOMYC, the Youth Hostel office, on the third floor of the Central Building, has a coin-operated PC with Internet connection.  The charge is JPY 100 per 10 minutes, and they are open from 10.00 to 17.00 hours.  It is equipped with Netscape browser in English, and Internet Explorer in Japanese.  In addition, there are many Internet cafés open for 24 hours in the Shinjuku CBD area, especially on the east side of the Shinjuku railway station.

@@@In Osaka, the Hotel Chuo is equipped with three laptop PCs with Internet connection for free of charge.

              Please refer to the plan provided separately in the conference for Internet access and the locations of ATMs that accepts international credit cards, photocopying machines and convenience stores for Osaka.

 

 

n 7\\@ATMs

        A Japan Post ATM machine with a green clover logo on the ground floor accepts major international credit cards for cash advance in JPY.  The machine is available for use from 9.00-19.00 hours.  Press eEnglishf then eWithdrawalf buttons for credit card transactions.  In case you want to cash your foreign currency or travellers cheques, you need to go to one of the banks in Shinjuku or Shibuya.  Banks are open from 9.00 to 15.00 hrs.

        There is a small office on the ground floor of the eLodging Building Df handling fax transmission and despatching your parcels to domestic destinations (Sorry, no international services).@

 

 

n 9\\@Photocopying

        Coin-operated photocopying machines are available on the first floor of the Central Building and in the lobby lounge of the Lodging Building D.  A black-and-white copy costs JPY 10/sheet.@@

              In Osaka, CVS with photocopy machine is within 3 minutes on foot from the conference venue.  It is JPY 10 per black and white copy.

 

 

n 10\\@Stores

        A small store selling daily necessities and basic stationeries is on the ground floor of the Lodging Building D.  Some convenience stores (CVS) are also found near OER Sangubashi Station, ca. 6 minutes away on foot.

              There are several CVS in Osaka within 3 minutes on foot from the conference venue.  

 

 

n 11\\@Coffee breaks, bottled drinks and smoking

        In Tokyo, due to the restriction attached to the regulation of the NOMYC, the Organising Committee apologise that we cannot set up the coffee breaks as originally planned.  During the coffee break period, you may get soft drinks from the vending machines.  There is also cosy café eFriendsf selling coffee and sandwiches on the third floor.  In lieu of the coffee breaks, we made a variety of bottled soft drinks, Japanese green tea and mineral water available in the conference rooms for your disposal.  As the number of bottles is limited, please make your bottles identifiable with the markers provided on the drink desk, and put the finished bottles away in the proper bins provided.  Smoking is permitted only at the designated smoking areas, which are explicitly signposted.

Please do not smoke in the session rooms or while you are walking.

              In Osaka, please follow the instructions given by the Workshop and conference organisers for coffee breaks and smoking areas.  We regret that we cannot organise coffee break in the lobby, because the regulation of MEDIX prohibits eating and drinking in the public area.  Bottled drinks may be provided during the conference in lieu of coffee breaks.

 

 

n 12\\@Access to the CBD of Tokyo (Shinjuku, Vh)

       Most convenient and cheapest way to go to Shinjuku, the liveliest of all the CBDs of Tokyo with skyscrapers, discount camera and computer shops, bookstores selling books in English, many different kinds of international restaurants and pubs (including fine Irish style) as well as amusement facilities is by the OER (Odakyu) Line train.  Sangubashi (ŽQ‹{‹΄), the nearest OER station, is about six minutes away on foot from the conference venue.  Please refer to the map.  Shinjuku is just three minutes (two stations) away by train from Sangubashi, and the fare is JPY 130 one way.

              Beware that you need to cross the railway tracks at the level crossing before reaching the railway station.  The trains run at very high speed (ca. 90km/hour) and they often approach from both left and right simultaneously.  Never attempt to cross the railway tracks while the crossing signal alerts you to the approaching trains.  Disobeying the railway crossing signal can mean a fatal consequence.  When you return to the NOMYC, board the train at Shinjuku from OER (Odakyu) platforms.  Only local trains (Kakutei), which leave from the basement platforms, stop at Sangubashi.   The direction to the NOMYC is clearly signposted with the NOMYC logo.
